How to Respond to Negative Google Reviews (With 5 Templates)
A calm, professional reply to a 1-star review can do more for your reputation than 10 five-stars. Here's the framework — and copy-paste templates.
The 4-part framework
- Acknowledge — repeat back what they said so they feel heard
- Apologize for the experience (not necessarily for fault)
- Action — what you're doing about it
- Anchor offline — invite them to email / call to resolve
Never argue in public. Never blame the customer. Never copy-paste the same reply to every negative review — Google detects it and future customers see it.
Template 1 — Service issue
Hi {name}, thanks for taking the time to share this. We're sorry your visit on {date} didn't meet expectations — that's not the standard we hold ourselves to. We've already discussed it with the team. If you'd like, please email us at {email} so we can make it right.
Template 2 — Wait time complaint
Hi {name}, thank you for the honest feedback. Friday evening was unusually busy and our wait times were longer than we'd ever want. We've added staff to that shift going forward. We'd love a chance to host you again — DM us and the next visit is on us.
Template 3 — Misunderstood policy
Hi {name}, sorry for the confusion around {policy}. We could have explained it better at the door. We've updated our signage and website to be clearer. Thanks for flagging it.
Template 4 — Suspected fake review
Hi {name}, we don't have a record of a visit matching your description. We take every review seriously — could you email us at {email} with your visit date so we can investigate?
(Then flag the review through GBP if it stays unsubstantiated.)
Template 5 — Genuinely our fault
Hi {name}, you're right — we dropped the ball here. {Specific action we took}. Please email me directly at {email}, I'd like to fix this personally. — {Owner name}
